Try booking and trip management yourself

Ask for a trial that includes a trip close to the way you operate, such as home pickup or boarding from fixed points. Add a time, capacity, bus, and driver, then book a seat from a phone and review the ticket as the student sees it.

Also try changing a time or handling a booking that needs attention. Ask one of your employees to complete the task without a lengthy explanation and record the steps they did not understand. This is more useful than looking only at dashboard screenshots.

Check how the system handles your existing data

If you manage student data in a file, ask how it can be moved into the system and how duplicates and errors are reviewed. If you need a connection to another program, ask for a clear explanation of the integration currently available, its cost, and its limits. Naming a program in a presentation does not prove that a working integration exists.

Also identify which data you can export, the available file formats, and what happens when a subscription ends. Keep a copy of the information needed to operate your company according to the procedures agreed with the provider.

Check what a bookings employee, driver, and student can see. Ask the provider how it protects company data, prevents unauthorized access, and handles privacy-related enquiries. Ask for a clear answer about current practices instead of relying on a general statement about security.

Calculate the cost of the plan you need

Review the limits for bookings, admin staff, and features included in the plan. Ask how usage is calculated, what happens when you reach a limit, and whether there are setup fees or additional services. Compare the cost of your current needs and expected growth on the same terms.

Test support and mobile use

Confirm the support channel, its available hours, and the help offered during setup. Try the student and driver pages on the devices they use, and ask which tasks need an internet connection and what is available when it is weak.
